The main PTO accrual methods

Employers use several different systems to determine how much PTO you earn and when. Understanding your accrual method helps you know exactly how much time you have and when you'll earn more.

Method 1: Per-hour accrual

You earn a set amount of PTO for every hour you work. This is the most common method for hourly workers and many salaried employees.

Accrual rate = Annual PTO hours / Annual work hours Example: 80 hours PTO / 2,080 work hours = 0.0385 hrs PTO per hour worked After 2 weeks (80 hrs): 80 ร— 0.0385 = 3.08 hours PTO earned

Method 2: Per pay period

A fixed amount of PTO is added each pay period regardless of hours worked (common for salaried employees). With 120 hours/year on a bi-weekly schedule: 120 / 26 = 4.62 hours per paycheck.

Method 3: Annual lump sum

The full year's PTO is granted at once (either January 1 or on your work anniversary). Simpler to track, but if you leave mid-year, your employer may reclaim some or all of it depending on state law and policy.

How to calculate the dollar value of your PTO

PTO value = Hourly rate ร— accrued PTO hours Example: $28/hr ร— 56 hours accrued = $1,568 Annual salary workers: Annual salary / 2,080 hours ร— PTO hours

Frequently Asked Questions

It depends on the type of leave and your employer's policy. FMLA leave typically doesn't accrue PTO unless the employer's policy provides for it. Paid leave (like paid sick leave) usually does continue accruing. Check your handbook.
Many companies combine vacation, personal days, and sometimes sick time into a single 'PTO' bank. Others keep them separate. The distinction matters for state law purposes โ€” some states only require payout of 'vacation' not general sick/personal days.
Generally yes, prospectively (for future accrual). They typically cannot reduce your already-accrued balance. You should receive notice of the change, and in states like California, any existing accrued time is protected as earned wages.
